What does a VAT tool do that you do not?

Nothing we do not cover as well. A tool calculates and files VAT automatically. We handle the same filings plus the ongoing bookkeeping, the annual financial statements and the tax classification. The difference is not in the filing, it is in everything that comes after.

Can we keep the tool and you do the rest?

Yes, that is a common route. We carry on with the existing setup and take over bookkeeping, annual accounts and advice. Whether the second subscription is still worth it after that, we work out together. Many clients cancel it after one or two quarters.

Can you fully cover Amazon FBA, PAN-EU and OSS?

Yes, that is our core business. We process settlement reports, FBA fees, PPC costs, returns and storage costs cleanly. We handle OSS returns and intra-EU stock transfers (EC Sales List) entirely ourselves.

How long does the switch to you take?

Typically within 4 weeks. Your effort: under 30 minutes. We take over the communication with your previous advisor, ongoing filings keep going out.

Who is liable if a filing is wrong?

For tax purposes you are liable as the business owner. The difference is who takes professional responsibility for the classification. With us the tax firm stands behind it, a software provider does not.

What does working together look like day to day?

Primarily via Slack with a dedicated channel for your team, plus email and phone. We usually answer questions within a few hours. Receipts and marketplace data run through interfaces, not through email attachments.

Technical Background: VAT and Annual Accounts

The obligations a filing tool alone does not cover.

VAT records, Section 63 UStDV

The records must allow a qualified third party to gain an overview of sales and input tax within a reasonable time. A marketplace or tool report is a basic record that alone does not meet this standard.

Single-entry recording requirement, Section 146 (1) AO

A bulk payout must remain traceable down to the individual order. Recording it as a single entry loses this granularity.

OSS return and exclusion, Section 18j (4) and (6) UStG

The return is due within one month after quarter-end, with no permanent extension. Repeated violations lead to exclusion with a two-year bar. OSS records must be retained for ten years under EU law.

Transfers of goods, Section 3 (1a) UStG

Transferring own goods to an EU warehouse is treated as a supply for consideration and is not covered by the OSS. It requires registration in the country of destination.

Revenue, Section 277 (1) HGB

Revenue is to be reduced only by VAT, sales deductions, and returns, not by marketplace fees. Booking only the payout as revenue understates both revenue and expenses.

Balance sheet date obligations, Section 240 HGB, Section 253 (4) HGB and Section 256a HGB

At fiscal year-end, an inventory must be prepared, current assets must be written down to a lower market value, and foreign currency balances must be converted at the spot exchange rate.
