E-commerce bookkeeping that shows you every month what is really left

Shopify, Amazon, Klarna, Stripe and DATEV have to line up every month. We build you bookkeeping that does exactly that, with an e-commerce BWA (monthly management report) that shows real margin, inventory and cash flow. Under 45 minutes of work for you per month.

Where does e-commerce bookkeeping go wrong?

Revenue data alone is not enough. What matters is whether shop, marketplace, payments, inventory and receipts end up in a clean monthly routine.

Many systems, no usable BWA.

Shopify, Amazon, Klarna and your receipts sit in four systems, and at month end the overall picture is missing. If you book the Amazon payout as a single entry, you never see what is left per order.

Cost of goods sold and inventory do not match.

When cost of goods sold, warehouse and purchasing do not line up, your growth looks better than it is. That catches up with you at the annual financial statements at the latest, when slow movers have to be written down.

Discounts and returns dilute your margin.

Klarna, PayPal, Stripe, marketplace fees and returns have to be assigned to the right order. Otherwise your contribution margin stays a guess, and the auditor's first question lands exactly here.

How does e-commerce bookkeeping work for Amazon, Shopify and multichannel?

We connect your data sources through integrations and turn them into a monthly routine that carries decisions. We also plan for e-invoicing, so your document flow is digital from the start.

Real monthly numbers instead of gut feeling

Shopify, Amazon, Klarna and your receipts flow through integrations straight into DATEV, with no manual exports. That way your monthly numbers show margin, cash flow and inventory, and every figure can be traced down to the order.

  • Connect shop, marketplace and payment data
  • Get rid of manual lists
  • Match receipts automatically (GetMyInvoices, Pleo, Moss)

Map cost of goods sold and inventory cleanly

We reconcile cost of goods sold, warehouse and purchasing against your tracking tools (Sellerboard, KLAR, Admetrics). That way growth does not look better than it is, and the year-end stocktake holds no surprises.

  • Cross-check cost of goods sold
  • Reconcile inventory and warehouse data
  • Factor in PAN-EU and OSS

Set up integrations and a monthly routine

Your data sources, receipts and DATEV turn into a fixed process that runs the same way every month. We also check your tax data at Amazon and other marketplaces, so no marketplace blocks your seller account over it.

"Most merchants who come to us do not have bad bookkeeping. They have bookkeeping that records the Amazon payout as a single entry. After that, nobody can see what is left per order." - Marius Gotzen, Partner
  • Who does what by when, agreed up front
  • Connect integrations properly
  • Month-end close on a fixed date

Status check in 15 minutes

We look at your data sources, document flows and monthly routine and tell you where your setup holds up and where it does not. Free, 15 minutes, no preparation.

Tool, standard tax firm or SPIELMANN?

An export is not bookkeeping. What matters is who brings Shopify, Amazon, payments, inventory and DATEV together cleanly every month.

Tool

Delivers exports and dashboards, but takes on no tax classification and no ongoing reconciliation of data quality.

Standard tax firm

Can do the bookkeeping, but is often not deep enough in the setup when it comes to marketplace data, payment fees, inventory and an e-commerce BWA.

SPIELMANN

Combines hands-on knowledge of shop, marketplace and payment data with DATEV, our own e-commerce BWA and a monthly routine you can rely on.

Month-end close on a fixed date

Shop, marketplace, payments and receipts are cleanly assigned. Your BWA becomes the working basis for margin, cash flow, inventory and growth.

"A switch rarely fails because of tax, it fails on the data handover. We coordinate that, which is why it takes 4 weeks instead of 4 months." - Marius Gotzen, Partner

Here is how it works: switching typically takes 4 weeks, your own effort is under 30 minutes. We handle the communication with your previous advisor.

FAQs about e-commerce bookkeeping

The key questions about setup, integrations and the monthly routine, answered briefly.

How quickly can I switch?

Typically within 4 weeks. Your own effort: under 30 minutes. We handle the communication with your previous advisor.

Does every single order have to appear in the books?

Yes. Bulk payouts from Amazon, Klarna or PayPal have to stay traceable down to the individual order. That is exactly what our integrations do automatically.

How much work is it for me each month?

Under 45 minutes of bookkeeping work per month. Shopify, Amazon, Stripe, Klarna, Mollie and GetMyInvoices are connected directly, so you do not have to export anything.

How does communication work?

Primarily via Slack with a dedicated channel for your team, plus email and phone. You get answers in hours, not days.

Can you fully handle Amazon FBA, PAN-EU and OSS?

Yes, that is our core business. We process settlement reports, FBA fees, PPC costs, returns and storage fees cleanly. We handle OSS returns and intra-EU stock transfers (EC Sales List) entirely in house.

What is different about your e-commerce BWA?

It shows the real contribution margin after FBA fees, PPC, returns and cost of goods sold, per channel. You see at a glance whether your shop is running profitably.

Technical Background: Ongoing E-Commerce Bookkeeping

The rules any e-commerce bookkeeping has to stand up to.

Single-entry recording requirement, Section 146 (1) AO

Entries must be recorded individually, completely, correctly, in a timely manner, and in an orderly fashion. Bulk payouts from marketplaces and payment providers must therefore remain traceable down to the individual order.

VAT records, Section 63 UStDV and Section 22 (2) UStG

The records must allow a qualified third party to gain an overview of sales and input tax within a reasonable time. Sales must be separated by tax rate and tax exemption.

GoBD, BMF letter of November 28, 2019

The version of July 14, 2025 applies. Missing process documentation is initially a formal defect; it leads to an estimate under Section 162 AO only if traceability is actually impaired.

Retention periods, Section 147 (3) AO

Books and financial statements must be retained for ten years, accounting documents for eight years, and other records for six years. The shortened eight-year period has applied since January 1, 2025.

Inventory and valuation, Section 240 HGB and Section 253 (4) HGB

An inventory must be prepared at the end of each fiscal year, with a physical count generally at least every three years. Current assets must be written down to a lower market value on the balance sheet date.

E-invoicing, Section 27 (38) no. 1 UStG

Receiving e-invoices has been mandatory since January 1, 2025. Paper remains permitted for transactions before January 1, 2027; from 2027 only up to 800,000 euros of prior-year revenue, and from 2028 the exception ends.
